January 2008
The purpose of this document is to:
•Advise you of changes to ASA Registration Fee collection
•Give you more information about the restructure
•Inform you of which squad your son/daughter will join
•Provide you with session times and venues
In March 2008 the Club is required to pay registration fees to the Amateur Swimming Association (ASA) to ensure swimmers and helpers are insured and to allow swimmers to compete in galas. There is a requirement for all swimmers, coaches and helpers to be registered. In the past we have included a proportion of these fees in the annual subscription, which is not collected until 1st May. However, last year we had a larger than expected number of swimmers leave the club for whom we had already paid the ASA registration fee. This led to significant wasted club funds. This year the Committee has decided to collect this ASA registration fee separately to the annual fees, to ensure that only swimmers who wish to remain in the Club in 2008/9 are registered. If your son/daughter is not registered with the ASA they will not be insured and therefore will not be allowed to either train with the Club or compete after 31st March 2008. A slip is attached to this document, requesting a cheque to cover the ASA registration fee to be received by the Club no later than 29th February 2008, to ensure that we have sufficient time to register all swimmers before 31st March 2008. Registration fees for coaches and helpers will be paid by the Club.
Costs for ASA registration will be as follows:
Category 1 (Insured to train with the club and compete in club galas) - £12
Category 2 (Insured to train and compete in all galas, including County, Regionals and Nationals) - £25
All swimmers who pay their ASA registration fee through the Club will receive a new EGSC T-shirt free of charge (subject to sponsorship being received from Waitrose).

The purpose of the squad structure is to put some formalised structure into the Club which provides a clear progression path for the swimmers.
It also simplifies the billing process and makes the administration of the Club easier to manage, and brings EGSC in line with many of the other clubs in the area which already operate this type of structure.
The description of each of the squads is given overleaf, together with the entry criteria and number of sessions they will be expected to attend. It is envisaged that swimmers will progress through the squads over time. The rate of progress will depend on the swimmer’s ability, commitment and attitude to training.
Swimmers will be expected to participate in a pre-determined number of swimming sessions per week, depending on their level. More sessions will usually be available than swimmers will be expected to swim, allowing for some flexibility and choice of sessions.
Attached to this letter is the recommended squad for your son/daughter.
When will the Squad structure start?
The restructure will start from Friday 15th February 2008.
Fees for the new structure will start from 1st May 2008. However, if your son/daughter is swimming more sessions than previously, you will be asked to pay a fee to cover the additional sessions up to May 2008. This will equate to £10 per month per additional session.
The Committee believes that this new structure is the best way forward for our Club and our swimmers. We do anticipate some teething problems, as with all change initiatives. Please be patient, but if you do have any issues, please could you contact a member of the Committee, or Nigel if it concerns the swimming sessions.

Can I do all the sessions for my squad?
Yes, you can do as many sessions as your squad has available. There is only a minimum requirement.
What if I can’t do the minimum number of sessions my squad requires?
This will need to be discussed with Nigel. However you may need to be placed in a different squad, as the squads assume the fitness level of someone attending the minimum number of sessions, and you may find it hard to keep up.
However, allowances may be made for GCSE’s, AS and A levels, injuries etc.
I think I’ve been put in the wrong squad, what should I do?
Speak to Nigel or Loraine in the first instance.
The squads will be reviewed on an ongoing basis and changes will be made as swimmers progress. Time trials and gala competitions will be an important factor in assessing the progress of swimmers. It is important that you attend when time trials are taking place to ensure that you are training in the correct squad.
What if I am second claim to EG, can I still have a free T-shirt?
Second claim swimmers (those that pay their ASA registration fees through another club) can purchase a T-shirt for £10.
I wish to renew/not renew* the ASA membership. I understand that if I chose not to renew the membership, my son/daughter will not be able to train or swim for the club after 31st March 2008
I enclose a cheque for £ ……………………….. to cover my child//ren…………………………………………………for ASA membership.
Please return this slip with your remittance ( cheque, made payable to East Grinstead Swimming Club) to the desk no later than 29th February 2008.
